Ever felt you're drowning in an ocean of paper? At least one of our clients did, until we introduced an intranet-based paperless system.
Greene King employs thousands, and the Greene King Human Resources department produced a plethora of documentation, forms and letter templates. Much of the documentation concerns policies and procedures, from health and safety to recruitment protocols. The majority was housed in a massive ring binder with copies distributed to key personnel. Updating the documentation was a recurring nightmare and then ensuring staff had the latest copies was worse still. Furthermore, the sheer bulk of the documentary material resulted in poor usage levels.
The intranet-based 'Personnel Policies & Procedures' intranet based manual has become a resource that is now regularly used and easy to update. User-friendly navigation quickly directs managers to the relevant section and document/form, which can then be edited, completed, printed out or viewed on screen as appropriate. Each document or form has a brief introduction that summarises its nature and use. New forms and documents can be added easily by authorised staff. The system then quarantines the document, informs the Central Administrator who then has the option to edit, reject or make the document live. The system then records the author's name, date and version.
Information, and access to it, is a crucial aspect of knowledge management. Another is relevance, which is why for a different project we created a system to enable administrators to produce reports and usage statistics. The same software (developed uniquely by our programmers) automatically generates material for mail-out within electronic matching criteria. Additionally, the system sorts vast quantities of information, importing and exporting this across the organisation and extranet.
